The Payroll Manager takes full ownership of the end-to-end payroll process cycle, serving as a vital strategic partner for both the HR and Finance departments. Areas of Responsibility
HR Administration Management (Outsourced Personnel)
- Full Lifecycle Support: Manage the complete cycle of HR administration including hiring, transfers, and termination of cooperation.
- Data Integrity: Ensure all data within HR and Payroll systems, specifically HiBob, remains correct and relevant.
- Documentation Control: Oversee the preparation and rigorous maintenance of all HR-related documentation.
- Cooperation Terms: Manage changes to cooperation terms such as role definitions, compensation adjustments, and work format updates.
- Mass Changes: Coordinate and support HR changes occurring on a mass scale.
Payroll: Calculation and Payments
- Outsourced Compensation: Take full ownership of calculation processes for outsourced specialists.
- In-house Validation: Validate calculations performed for internal staff members.
- Data Consolidation: Organize the systematic collection, verification, and consolidation of all payroll input data.
- Provider Interaction: Manage relationships and daily interactions with external payroll providers such as Mellow and Garna.
- Financial Accuracy: Control the correctness of all calculations, applicable taxes, and deductions.
- Payment Logistics: Organize timely direct payments and payments routed through external providers.
- Pay Slip Transparency: Maintain high standards of accuracy and transparency for all employee pay slips.
Period Closing and Reporting
- Month-End Leadership: Lead the comprehensive month-end closing process for the payroll function.
- Report Management: Prepare and control detailed payroll reports for stakeholders.
- System Reconciliation: Reconcile financial data across HR, payroll, and internal financial systems.
- Personnel Auditing: Control data integrity for employees, contractors, and outsourced personnel.
- Audit Participation: Actively participate in external and internal audits and final checks.
Interaction and Process Development
- Internal Consulting: Provide expert consultation to employees regarding calculation and payment inquiries.
- Stakeholder Collaboration: Maintain close interaction with HR, Finance, and external partners.
- Continuous Improvement: Identify and implement process improvements, automation, and scaling strategies for payroll.
Candidate Requirements
- Professional Experience: 4–5 years of specialized experience in payroll, covering end-to-end processes.
- Leadership Background: Prior experience as a Payroll Manager or Senior Payroll Specialist.
- Technical Knowledge: Deep understanding of payroll mechanics, taxes, and deductions, preferably within an international context.
- Provider Management: Proven experience interacting with and managing external payroll service providers.
- Software Proficiency: High proficiency with HRIS and Payroll systems, specifically HiBob or similar platforms.
- Soft Skills: Exceptional attention to detail, systemic thinking, and a high level of professional responsibility.
- Language Skills: English proficiency at an Intermediate level or higher for documentation and provider communication.
- Process Optimization: Previous participation in automation or optimization projects is considered a significant advantage.
Preferred Qualifications
- International Scope: Experience working within international companies or rapidly growing environments.
- Process Architecture: History of building payroll processes from scratch or leading major process transformations.
- Multi-Jurisdictional Exposure: Experience managing payroll across multiple legal jurisdictions.
